1. Agreement
By creating an account or using ReclaimHQ, you agree to these Terms of Service. ReclaimHQ is operated by ReclaimHQ LTD, a company registered in England and Wales. If you do not agree to these terms, do not use the service.
2. Service description
ReclaimHQ is a software-as-a-service platform that helps Amazon FBA sellers manage removal orders, track shipments, monitor claim deadlines, and organise reimbursement workflows. The service includes a web dashboard, API, and Chrome browser extension.
3. Account responsibilities
- You must provide accurate information when creating your account.
- You are responsible for maintaining the security of your account credentials and API keys.
- You must not share your account with others or allow unauthorised access.
- You must be at least 18 years old to use the service.
4. Subscription and billing
- ReclaimHQ Pro is available on two plans: £24.99 per month or £249.90 per year.
- New accounts receive a 14-day free trial. A valid payment method is required to start the trial. You will not be charged until the trial period ends.
- After the trial, your subscription renews automatically at the end of each billing period (monthly or annually) until cancelled.
- You may cancel at any time. Cancellation takes effect at the end of the current billing period.
- We do not offer refunds for partial billing periods.
- Payments are processed securely by Stripe.
5. 10x money-back guarantee
We offer a 10x money-back guarantee on your first month's subscription payment, subject to the following conditions:
- The guarantee applies to your first monthly subscription payment only (£24.99). If you are on the annual plan, the guarantee applies to the equivalent of one month's subscription fee (£24.99), not the full annual payment.
- Eligibility requires active use of the platform. To qualify, you must have imported at least 5 removal orders into ReclaimHQ and actively tracked items during the guarantee period. Accounts with no imported data or minimal engagement do not qualify.
- To qualify for a refund, you must demonstrate that despite active use of the platform you have not recovered or reclaimed at least 10 times your first month's subscription fee (£249.90) in total value — through claims, reimbursements, or resale of items tracked in ReclaimHQ — within the first 30 days of your paid subscription (excluding the 14-day trial period).
- To submit a claim, email hello@reclaimhq.uk within 30 days of your first payment with a summary of your account activity.
- The guarantee is limited to one claim per customer and applies only to the first billing period.
- We reserve the right to review account activity and request supporting evidence before approving a refund. Refunds will be processed within 14 business days of approval.
6. Acceptable use
You agree not to:
- Use the service for any unlawful purpose.
- Attempt to gain unauthorised access to other users' data.
- Reverse-engineer, decompile, or disassemble any part of the service.
- Use automated tools to scrape or extract data from the service beyond the provided API.
- Resell or redistribute the service without written permission.
7. Data and Amazon integration
ReclaimHQ imports data from Amazon Seller Central via the Chrome extension at your direction and, where you have authorised access, via the Amazon Selling Partner API (SP-API). You are responsible for ensuring you have the right to access and process this data. ReclaimHQ is not affiliated with, endorsed by, or connected to Amazon.
- When you authorise ReclaimHQ to access your Amazon Seller Central data via the Selling Partner API, you grant us permission to retrieve removal order data, reimbursement records, inventory information, financial data, and related Amazon Marketplace information on your behalf.
- You may revoke this authorisation at any time through your Amazon Seller Central account settings. Upon revocation, we will delete your Amazon Marketplace data within 30 days in accordance with our Privacy Policy.
- We use your Amazon data solely to provide the ReclaimHQ service and do not sell, share, or use it for any other purpose.
8. AI Claims Assistant (Tarquin)
ReclaimHQ includes an AI-powered claims assistant (“Tarquin”) that generates suggested messages and guidance for Amazon Seller Support conversations.
- All AI-generated content is provided as guidance only and does not constitute professional, legal, or financial advice.
- You must review, verify, and take full responsibility for any message you submit to Amazon Seller Support or any other party. Tarquin's suggestions may contain errors or may not reflect the most current Amazon policies.
- You are solely responsible for ensuring that all claims and communications you submit to Amazon comply with Amazon's Terms of Service, Seller Code of Conduct, and applicable policies.
- ReclaimHQ accepts no responsibility or liability for: claim outcomes (whether approved or denied), Amazon account warnings, suspensions, or closures, any financial loss arising from actions taken based on AI-generated suggestions, or changes to Amazon's policies that may affect the accuracy of Tarquin's guidance.
- AI-generated conversation data may be retained to improve the service, subject to the data handling described in our Privacy Policy.
9. Data encryption and security
We encrypt commercially sensitive data at rest using AES-256-GCM with per-user encryption keys. This includes cost of goods, target sale prices, removal fees, recovery amounts, and invoice filenames. Each user's data is encrypted with a unique key. All connections to and from ReclaimHQ use TLS encryption. Row-level security policies ensure that you can only access your own data.
The Chrome extension does not store your Amazon credentials and only imports order data at your direction. API keys for the Chrome extension are stored as one-way hashes.
10. No guarantee of outcomes
ReclaimHQ is a management and tracking tool. We do not guarantee that you will receive reimbursements from Amazon or any other party. Claim outcomes depend on Amazon's policies and your individual circumstances. We provide tools to help you track and manage claims, but the results are not within our control.
11. Availability and uptime
We aim to maintain high availability but do not guarantee uninterrupted access. The service may be temporarily unavailable for maintenance, updates, or due to circumstances beyond our control. We will endeavour to provide advance notice of planned maintenance where possible.
12. Limitation of liability
To the maximum extent permitted by law, ReclaimHQ shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities, arising from your use of the service.
Our total liability for any claim arising from these terms or your use of the service shall not exceed the amount you have paid us in the 12 months preceding the claim.
13. Termination
We reserve the right to suspend or terminate your account if you breach these terms. You may close your account at any time by cancelling your subscription and contacting us at hello@reclaimhq.uk. Upon termination, your data will be deleted in accordance with our Privacy Policy.
14. Changes to these terms
We may update these terms from time to time. If we make material changes, we will notify you by email at least 14 days before they take effect. Continued use of the service after changes constitutes acceptance of the updated terms.
15. Governing law
These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
